How to Host a Retreat in California

A practical guide for yoga teachers, wellness facilitators and group leaders planning a memorable retreat.

    The Step-by-Step Guide

Five Steps to a Retreat Your Guests Will Remember

Hosting a retreat in California is one of the most rewarding things a teacher or facilitator can do — and one of the most operationally demanding. The framework below distills what experienced retreat leaders do consistently well, from first idea to final farewell.

    01

    Step 1: Define Your Retreat

Every successful retreat begins with clarity. Before booking a venue or designing a schedule, get specific about who the retreat is for and what experience you want to create.

    Audience

Who is this retreat for — beginners, advanced practitioners, women only, corporate teams, alumni of your studio?

    Theme

Yoga and reset, breathwork intensive, silent meditation, creative writing, leadership offsite — a clear theme attracts the right guests.

    Group size

Intimate (8–16), mid-size (16–24), or full estate (25–30+). Group size shapes everything that follows.

    Length

Long weekend (3 nights) suits most first retreats. 5–7 nights allows for deeper transformation and a more relaxed arc.

    Pricing

Work backwards from venue, food, programming and your facilitator fee. Most California retreats land between $1,200–$3,500 per guest.

    02

Step 2: Choose the Right Venue

The venue is the single largest factor in how your retreat feels. The right setting does half the work for you — the wrong one will quietly undermine even the best programming.

    Location

Northern California offers exceptional access — Shasta Lake, Mount Shasta, Sonoma, Mendocino. Aim for under 90 minutes from a major airport.

    Sleeping capacity

Confirm bed count, room mix and whether private rooms are an upsell. Single occupancy is increasingly expected by wellness guests.

    Gathering areas

You need at least one dedicated practice space (yoga, meditation, workshop) and one shared dining space that comfortably seats the entire group.

    Guest experience

Look for hot tubs, fire pits, lake or mountain views, walking paths, and uncluttered interiors that let your programming take center stage.

    Accessibility

Driving distance, airport transfers, mobility considerations and dietary flexibility from any on-site kitchen or local caterers.

    03

    Step 3: Design the Experience

A retreat is not a workshop. The pacing matters as much as the content. Design a rhythm that holds your guests rather than fills every hour.

    Schedule

Two anchor sessions per day (morning and late afternoon) with generous open time. Leave evenings light — most growth happens in the gaps.

    Meals

Three nourishing, seasonal meals with options for plant-based, gluten-free and dairy-free. Family-style tables build community quickly.

    Activities

Mix on-site practice with one off-site adventure — a hike, lake swim, sunset paddle, or sound bath. Variety creates memory.

    Downtime

Block at least 2–3 hours of unstructured time daily. This is where journaling, naps, conversations and integration happen.

    Welcome and closing

Open with intention setting on night one and close with a meaningful ritual on the final morning. Bookends matter most.

    04

Step 4: Market and Fill the Retreat

Most retreats fill through trust, not ads. Lean on the audience you have, give it time, and make the booking experience effortless.

    Instagram

Share behind-the-scenes of the venue, your why, sample schedule and testimonials from past retreats. Consistency over polish.

    Email list

Your email list will out-convert every other channel 10x. Announce early, send a clear sales sequence, and answer objections directly.

    Community outreach

Tell your studio, your existing clients, your peer network. Offer a friends-and-family rate for the first 3–4 spots to build momentum.

    Partnerships

Co-host with another teacher to combine audiences and split logistics. Studio partnerships can fill a retreat in a single email.

    Booking page

A single, beautiful landing page with the venue, schedule, pricing, FAQ and a clear deposit link. Reduce friction at every step.

    05

Step 5: Deliver a Great Guest Experience

The small things separate a forgettable retreat from one your guests talk about for years. Sweat the details before, during and after.

    Communication

Send a warm welcome email at booking, a logistics email 2 weeks out, and a final excitement email 48 hours before arrival.

    Packing list

Climate-appropriate, specific and short. Include layers, water bottle, journal, swimsuit and anything venue-specific.

    Arrival flow

Greet every guest personally. Have room assignments ready, a welcome drink waiting and an opening circle within the first 4 hours.

    Small details

Handwritten name cards, fresh flowers, a small gift on the pillow, curated playlists. These cost little and feel like everything.

    Photos

Hire a photographer for one day or designate a guest. You'll need imagery for next year's retreat and grateful guests love seeing themselves.
