    Whether this is your first retreat or your fifteenth, the fundamentals are the same. Work through each section below in order — from pre-planning through day-of logistics — and you'll arrive at the venue with nothing left undone.

    Pre-Planning Checklist

    Before you book anything, get clear on the retreat itself. The decisions you make here shape every choice that follows — from venue and pricing to who actually shows up.

    Theme

    Define a single, specific theme — yoga and rest, breathwork, women's circle, leadership offsite. A clear theme attracts the right guests and makes marketing effortless.

    Audience

    Identify exactly who the retreat is for. Existing students, peer network, corporate teams, or a brand-new audience? Each requires a different sales approach.

    Budget

    Map venue, food, contractors, marketing and your own facilitator fee. Add a 10% buffer for surprises. Know your break-even guest count before opening sales.

    Venue shortlist

    Identify three to five venues that match your group size, location and aesthetic. Tour virtually or in person before signing a contract.

    Dates

    Choose dates 9–12 months out, mid-week or weekend depending on audience. Avoid major holidays and check seasonal weather for your region.

    Experience Checklist

    A retreat is a designed experience, not a packed itinerary. The best retreats feel spacious — every detail is intentional, and nothing is rushed.

    Schedule

    Two anchor sessions a day with generous open time. Build a printable schedule guests can keep on their nightstand.

    Guest flow

    Map the arc — arrival, opening circle, deepening, integration, closing. Each day should have a clear beginning, middle and end.

    Meals

    Three nourishing seasonal meals with plant-based, gluten-free and dairy-free options. Confirm dietary needs at registration.

    Welcome gifts

    A small thoughtful gift in each room — a journal, a candle, a hand-written note. Sets the tone within the first 60 seconds.

    Activities

    Mix on-site practice with one signature off-site experience — a hike, lake swim, sunset paddle or sound bath.

    Downtime

    Block 2–3 hours of unstructured time daily for journaling, naps, conversations and quiet integration.

    Venue Checklist

    The venue is the single biggest decision you'll make. Use this checklist on every walk-through and every call with a property manager.

    Sleeping capacity

    Confirm bed count, room mix and single-occupancy options. Wellness guests increasingly expect their own room — plan accordingly.

    Practice space

    A dedicated, beautiful space large enough for the full group to move, sit and gather. Natural light and minimal clutter are non-negotiable.

    Outdoor areas

    Decks, gardens, fire pits, lake or mountain views. Guests will want to step outside between sessions — make sure that experience is exceptional.

    Privacy

    Exclusive use is ideal. No shared lobbies, no other guests, no through-traffic. Privacy is what separates a retreat from a hotel stay.

    Photo appeal

    Walk the venue and ask: will this photograph well? Beautiful imagery sells next year's retreat before this one is even over.

    Ease of arrival

    Driving distance from a major airport, clear directions, mobile reception en route, and a simple check-in flow with the host.

    Marketing Checklist

    Most retreats fill from a small, trusting audience. Polish the fundamentals — a beautiful sales page and a clear email sequence will out-perform any ad campaign.

    Sales page

    One dedicated page with the venue, schedule, pricing, photo gallery, FAQ and a clear deposit button. Reduce every point of friction.

    Email sequence

    Announcement, deep-dive, testimonial, FAQ, last-call. Five emails over four to six weeks will out-convert any other channel.

    Social content

    Behind-the-scenes of the venue, your why, past testimonials and a clear weekly call-to-action. Consistency over polish.

    Payment setup

    Accept a deposit (typically 25–50%) at booking and the balance 60 days out. Use Stripe or a dedicated retreat platform — never DMs.

    FAQ

    Answer the top 8–10 questions on the sales page and in your email sequence. Most objections are logistical — handle them up front.

    Day-Of Checklist

    The retreat itself runs on details. Build a single document with everything you'll need before, during and after — and assign someone to own each part.

    Arrival

    Greet every guest personally. Room assignments printed, welcome drink ready, opening circle scheduled within the first four hours.

    Signage

    Tasteful printed signs for room assignments, schedule, dining area and gathering space. Reduces a hundred small questions.

    Host communication

    Final venue walk-through with the host 24 hours before arrival. Confirm Wi-Fi, hot tub, fire pit, sound system and emergency contacts.

    Support items

    Extra mats, blankets, cushions, candles, speakers, a first-aid kit, and a small kit of guest essentials (lip balm, tissues, hair ties).

    Closing gifts

    A meaningful parting gift and a hand-written card. The last impression becomes the testimonial that fills next year's retreat.
